Who we are

Simon Joseph Coaching is run by Simon Joseph, a sole trader in the UK. Simon is the data controller for your information. Contact: simonjosephcoach@gmail.com.

What we collect

• Account details: name, email, timezone.
• Health and fitness information: weight, measurements, progress photos, training logs, nutrition, steps, sleep, energy and other check-in ratings, menstrual cycle information, health conditions, medication, and any supplements, substances or protocols you choose to share.
• Messages, form-check videos and files you send.
• Technical information from the device you use the app on (device and browser type, screen size, time zone, and reports of app errors or the app not responding), used only to keep the app working. It's deleted after 30 days.
• Payments are handled by our payment provider; we never see your full card number. We keep basic payment records for 6 years for tax purposes.

Why we use it

To coach you: building and adjusting your training, nutrition and protocols, reviewing your check-ins, and keeping in touch.

Our legal basis

We use your information to deliver the coaching service you've signed up for (contract). Health information is special-category data, so we only use it with your explicit consent, which you give when you join. You can withdraw consent at any time; because coaching depends on this information, withdrawing it means we'll close your account and delete your data.

AI assistance

Some features use AI (Anthropic's Claude) to draft plans and check-in feedback from your information. Simon reviews everything before it reaches you; nothing is sent to you automatically.

Simon's video messages to you can have subtitles: the speech is turned into text by AssemblyAI (in the EU), and subtitles in another language are translated by Anthropic's Claude.

Who we share it with

Only the service providers that run the app: Vercel (hosting), Neon (database), Clerk (sign-in), Cloudinary (photos and videos), Cloudflare R2 (video messages from Simon), Anthropic (AI drafting and subtitle translation), AssemblyAI in the EU (subtitles for Simon's video messages), Resend (email), our payment provider and your phone's push-notification service. They process data only on our instructions. Some are based in the US; transfers are covered by appropriate safeguards such as the UK–US data bridge or standard contractual clauses. We never sell your data or use it for advertising.

Keeping your data safe

Your data is only visible to you and Simon, except anything you post in the group chat, which other clients can see. Your profile picture is also visible to other clients in the group chat. Your other photos and videos are private and can only be opened by you or Simon while signed in.

How long we keep it

While you're a client, and deleted 12 months after your coaching ends, or sooner if you ask. Basic payment records are kept for 6 years for tax purposes.

Your rights

You can ask to see, correct, export or delete your data, or to withdraw consent, by contacting Simon. You can also complain to the Information Commissioner's Office (ico.org.uk).
